01 — What we collect
The information we collect.
Information you give us directly
When you create an account, we collect your email address. When you sign in via a third-party provider (such as Google), we receive the email address and basic profile information you authorize that provider to share. When you add a property and use the Service, we collect what you enter — including property addresses, year built, unit counts, property types, owner-occupancy status, eviction context, notes, uploaded files, and any other content you choose to enter or upload.
Information we collect automatically
When you use the Service, we automatically collect a limited set of technical information including your IP address, browser type and version, device type, operating system, pages visited and actions taken within the Service, and timestamps. We use this to operate the Service, diagnose problems, and protect against abuse.
Information we do not collect
We do not knowingly collect government identification numbers, financial-account numbers, or other sensitive personal information beyond what you choose to enter. We do not collect biometric information. We do not collect information from people we know to be under 18. We do not collect information about tenants except to the extent you choose to enter it as part of a property record.
02 — How we use it
How your information is used.
We use the information we collect to operate and maintain the Service, run the compliance engine against the property data you enter, store and display the records you create, authenticate you and protect your account, communicate with you about the Service, diagnose and fix problems, prevent fraud and abuse, and comply with legal obligations.
03 — Tenant data
Information about your tenants.
The Service is built for landlords. You may enter information about your tenants — in notes, in proof-of-service records, or in uploaded documents. When you do, you represent that you have any consents or legal basis required for entering that information into a third-party service. We treat tenant information you enter with the same protections as your other content, but you are responsible for the legality of entering it.
If a tenant contacts us directly and asks what information about them is in LandlordOS, we will generally direct them to you, the landlord, as the controller of that information. We will respond to lawful demands from tenants or their representatives as required by applicable privacy law, including California's CCPA/CPRA.
05 — Retention
How long we keep your information.
We retain your account and property records for as long as your account is active. When you delete your account, we delete your content within thirty (30) days, except where we are required to retain certain records for longer to comply with legal obligations, resolve disputes, or enforce our agreements. Backup copies may persist for up to ninety (90) additional days before being purged.
06 — Security
How we protect your information.
We take reasonable measures to protect the information we collect, including encryption in transit, encrypted-at-rest storage with our database provider, access controls, and row-level security policies that prevent users from seeing other users' data. No system is perfectly secure. If we become aware of a security incident affecting your information, we will notify you as required by applicable law.
07 — Your rights
The rights you have.
California residents
Under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), you have the right to know what personal information we have collected about you, the right to delete personal information we have collected from you, the right to correct inaccurate personal information, the right to opt out of any sale or “sharing” of personal information (we do not sell or share personal information for cross-context behavioral advertising), the right to limit the use of sensitive personal information (we do not use sensitive personal information for any purpose requiring limitation rights), and the right not to be discriminated against for exercising any of these rights.
To exercise any of these rights, email privacy [at] landlordos [dot] net with the request and enough information to verify your identity. We will respond within forty-five (45) days, or notify you if we need an extension.
All users
You can access and update most of your information directly in the Service. You can delete your account at any time, which triggers the deletion process described above.
08 — Cookies & international
Cookies, tracking, and where we operate.
Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, and operate the Service. We do not use third-party advertising or analytics cookies that track you across other sites.
International users
The Service is operated from the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, which may have different privacy protections than your home jurisdiction.
09 — Changes & contact
Updates to this policy and how to reach us.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by email or an in-app notice) before the changes take effect. The “Last updated” date at the top of the policy indicates when it was most recently revised.
